Job purpose
As an Office Manager, you will be responsible for overseeing the operations
of local facility and ensuring consistency and alignment with the
headquarter office.
Duties and Responsibilities
• Manage local office operations to include correspondence
, vendor selection (when applicable), monthly budgeting, Purchase Requests,
and invoice and bill processing.
• Organize team building events and site activities.
• Maintains office staff by recruiting, selecting,
orienting, and training employees.
• Keeps management informed by reviewing and analyzing
special reports; summarizing information; identifying trends.
• Maintains office staff job results by coaching,
counseling, and disciplining employees; planning, monitoring, and appraising
job results.
• Assign and monitor administrative tasks associated with
the local Business Unit leaders and visitors that could include travel
arrangements, meeting scheduling, customer or executive visit facilitation,
operational support, and communication and facilitation of HQ requirements
pertaining to the local site.
• Coach and mentor executive assistant, receptionists and
other administrative staff.
• Partner with facility manager and third-party vendors on
facility maintenance, office supply management, and catering services.
• Provide site specific project administration support
duties that include tracking of project budgets and headcount, project
deliverables and schedule, and purchases related to project assigned codes.
• Provide support to HR on employee activities and
training sessions.
• Maintains office efficiency by planning and implementing
office systems, layouts, and equipment procurement.
• Designs and implements office policies by establishing
standards and procedures; measuring results against standards; making
necessary adjustments.
Required Education and Experience
• Bachelor Degree in Business Administration (preferred)
• English and Chinese Mandarin bilingual
• 5+ years of office management or executive
administration
• Ability to multi-task, prioritize and adapt to changes
• Ability to build trust with the team and work with
internal and external business partners
• Excellent communication skills
• Automotive experience preferred
