Job descriptions:
1. Setup new Hiring/ termination/rehiring package for employee:
• Verify necessary documents, sign I-9, identify working permit,
prepare for the employee handbook, confidential agreements ;
• Follow-up and update all employment paperwork, Ext, working
authorization update, W-4 update, Change address update, Direct deposit
authorization forms;
• Helping for related employments issuing: Children support
verification, Medicare application, employment verification, Public housing
verification, Unemployment claim, and worker compensation verification.
2. Setup/ follow-up/update/terminate employee benefit:
• Setup Health / dental insurance for eligible employee, and notify
the payroll department for the related deduction adjustment date;
• Setup 401K plan for eligible employee, and notify the payroll
department for the related deduction adjustment date;
• Follow-up employee Vacation date/ sick date/ FMLA information,
and maintain the Master fill for all active employee to verify the PTO; send
out the PTO notification sheet at end of each Quarter, and Help accounting
manager to reconcile the PTO account at end of each year.
• Update employee individual file and maintain the Master file for
all active employee, notify the administration staff to maintain HQ employee
list for birthday party. Notify the 401K manager the eligible employee list
before each opening enrollments.
• Terminate employee benefit according qualified events. Terminate
employee Health/ Dental insurance benefits, Send out the COBRA package to
COBRASERV and employee, follow-up for the individual COBRA case and make
necessary action for the COBRA elections.
3. Reconcile the benefit account balance and helping for monthly/ year
closing
• Reconcile the Health /Dental insurance accounts, and verify the
insurance billing based on the employee deduction and eligible status.
• Make the JE, Reconcile the 401K account contribution based on
Quarterly statements.
• Maintain the PTO master fill for active employee, response for
distribute the quarter notice for PTO timesheets. Helping accounting Manager
reconciles the PTO account at year ending.
• Calculation weekly/monthly union due and issue the payment for
Union due.
• Working with external Payroll or benefit related auditing reports.
• Help enroll OCIP or CCIP program. And maintain monthly reports.
• Amortization worker compensation account on monthly basis. And
reconcile the worker compensation at year ending.
• Help accounting manager for monthly P&L analysis- benefit
accounts expense.
• Help accounting manager researching on more cost efficient
benefit plan.
4. Other manager assigned projects:
• W-4 year ending update;
• W-2 year ending distributions;
• 1099 for status' employee;
• Updating company employment related forms/ letter/ other
documents.
Success Ingredients
• Associate Degree or work equivalence
• Strong organizational, problem-solving, and analytical skills
• MS Office; Quick Books / ADP or Paychex experience a plus
• MUST speak and Written Chinese and English.
• Ability to prepare reports and business correspondence
• Excellent presentation skills, verbal and written
• Ability to deal effectively with a diversity of individuals at
all organizational levels
• Creative, flexible, and innovative team player
